Office Administrator – Mat Leave Coverage

Summary:

The Office Administrator will be the first point of contact for guests and visitors, ensuring they receive a warm welcome and excellent service. This role involves managing administrative tasks, supporting project management, and assisting various departments as needed. The ideal candidate will be organized, personable, and able to handle multiple responsibilities efficiently.

Key Responsibilities:

  • Warmly greet guests upon their arrival, directing them to the appropriate person or office.
  • Answer, screen, and forward incoming phone calls. Maintain and manage email accounts, ensuring prompt and accurate responses.
  • Support administrative tasks for our Sales team. Receive leads via phone, email, and website, and assign them to the appropriate Salesperson based on established guidelines.
  • Create and maintain project files for new contracts, including assigning project numbers, sending welcome emails, and providing project location sheets with site instructions.
  • Assist with office operations, including preparation of the boardroom, filing, inventory management, and general administrative support across departments as needed.
  • Conduct opening and closing procedures, manage daily mail and deliveries.
  • Ensure front desk area is fully functional and adequately stocked (e.g., pens, forms, brochures).
  • Maintain the cleanliness and presentability of common areas such as the reception area, boardrooms, kitchen, and more.
  • Maintain boardroom schedule, ensure the room is prepared and tidied as needed.
  • Order office supplies and maintain updated records of inventory.
  • Undertake other duties and responsibilities as assigned and assist in all departments as needed.

The Ideal Candidate:

Our ideal candidate for the Project Administration/Receptionist Role possesses the following qualifications:

  • High school diploma or equivalent; additional administrative training or certification is a plus.
  • Proven experience as a front desk representative, receptionist, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail.
  • Ability to handle multiple tasks and work in a fast-paced environment.
  • Professional demeanor and a positive attitude.
